ABOUT THE APPRENTICESHIP
LOCATION
Thistley Hough Academy, Stoke-on-Trent
SALARY- £7296 per year
CORE PURPOSE
To provide administrative support to the Academy
office and the Academy reception area in an
efficient and effective manner.
DUTIES
- To carry out general administrative duties
- To carry out receptionist duties and responsibilitie
- To provide a first class service to all school visitors and staff
- To assist in other administrative areas as and when required
- To seek ways of improving quality in all aspects of work
- To be flexible in working hours as and when required
DUTIES ASSOCIATED WITH CORE TASKS
- To carry out administration duties as allocated by
the Office Manager
- Ensuring student’s personal details are kept up to
date making certain that data protection and
confidentiality is paramount at all times
- To facilitate all correspondence/documentation for
detentions
- To act as a point of contact for visitors to the
Academy and those making contact by telephone,
demonstrating outstanding customer service
- To ensure all messages are accurately recorded
and passed onto the appropriate person
- To respond to all office email enquiries and forward
onto the relevant person
- To ensure that all visitors are signed in and issued
with a visitor’s pass, ensuring that all visitor’s DBS /
ID has been checked for safeguarding purposes
- To check that students signing out have permission
to do so
- To receive, sign for, sort and distribute
post/deliveries coming into the Academy
- To frank all post going out of the school ensuring
that it is ready for collection by Royal Mail
- To allocate funds to the franking machine as and
when required
- To carry out laminating/reprographic duties as and
when required
- To maintain all printers/photocopiers, logging and
reporting any service calls as and when required
- To monitor all office stationery/paper and complete
purchase orders as required
- To attend to all enquiries from both staff and
students ensuring confidentiality at all times
- To support with administration with regard to Free
School Meals, Admissions and Off Rolling
- To assist with any office filing
- To deputise for other administrative staff in their
absence when required
- To take part in INSET training both to improve your
own skills and to work with colleagues to improve
administration.
- Assisting the attendance team.
- Reprographics
- Running of in school second hand uniform store.
- Any other administrative duties commensurate with the grade of the post as directed by the Office Manager
QUALIFICATIONS
Educated to GCSE level or equivalent (Including
GCSE English A-C )
Experience
- Working in a busy office environment
- Ability to work in a team environment
- Excellent administration and organisation skills
- Ability to use Microsoft packages (Word, Excel and
Publisher)
- Experience of using the Internet
- Adhering to confidentiality procedures
- Knowledge of Microsoft
Outlook or Office 365
- Experience of minute taking
- Knowledge of SIMS
