Level 3 Business Administrator


The receptionist & membership administrator will be responsible for providing a range of operational functions in an effective and efficient manner to support the day- to- day running of the membership journey and an excellent reception service so that all visitors and callers receive the best possible impression of the Chamber and to service the Chambers’ Member lounge and Enterprise Hub.


· Answer the switchboard with the appropriate greeting efficiently and courteously, ensuring all calls are routed correctly and that messages are passed to the appropriate team member in a timely manner. Training will be provided on all aspects.

· Provide a friendly and efficient reception service to internal and external customers, greeting visitors in a professional and helpful manner and informing the relevant departments of arrivals.

· To provide effective, accurate and responsive administrative support for membership team. Updating CRM systems and following the membership process procedure.

· To input new data and maintain existing data with a high level of accuracy on data management systems.

· Ensure that the telephone equipment is working correctly and liase with external parties for repair and maintenance.

· Using extracted data, produce letters for internal departments, using mail merge and other mechanisms.

· Sort incoming mail, frank outgoing mail, manage systems, maintain franking machine as required.

· A need to be flexible, as cover for holidays (reception duties) will be required on occasion.

· Service the Chambers’ Member lounge and Chamber Hub, taking responsibility for ensuring refreshments are available and the areas remain clean and tidy.

· Acting as a point of reference and being available to answer any questions and queries from our visitors to the Member lounge and Enterprise Hub.

· Dealing with or referring any premises related issues within the Member lounge and Chamber Hub.

· Undertake any other duties as may be reasonably be requested from time to time.

· Be flexible and willing to undertake any other duties that may be reasonably required

· To work from other Chamber offices if required.
